Title: Prospective graduate student interested in (RESEARCH FIELD)
Dear Professor ABC,
Thanks for reading my email. My name is Gildong Hong. I am writing this letter to inquire whether you are currently accepting graduate students. I am planning to attend graduate school for Ph.D. program at A University (2020 fall semester). I had finished my master’s degree all but thesis in December 2018 at Department of Chemistry, B University, Seoul, Republic of Korea under the guidance of Prof. C. I also had acquired one-year research experience as a visiting scholar at Department of Chemistry, D University, under the guidance of Prof. E.
During my master’s degree, I have worked on “Fluorescence etc.” and published several papers as described in my resume. At that time, I had read the papers in your group, especially the paper for Fluorescence (J. Am. Chem. Soc. 2000, 100, 1000–1002) was really impressive because of the systematic approach for fluorescence. After that, I have been looking closely into your works for mechanism-based signaling and became greatly interested in joining you on this line of work. Thus, I could develop my understanding of your academic interests, viewpoints and approaches, and became to believe that I would be able to further develop my research in this field under your guidance.
Also, during my visiting scholar, I had the opportunity to work on TOPIC and presented my work in the ACS conference which was held on August in San Diego.
I wish to introduce myself in more depth in my next email. Thank you very much for reading my email. I know you must be very busy, and I will greatly appreciate any time you can give me.
Yours Sincerely,
Gildong Hong

Dear Gildong Hong,
Thanks for writing and for your interest, we plan to take new grad students next fall but it is unclear how many in terms of space and funding. Good luck with your applications in any case and please give my regards to Larry.
Best wishes,
ABC

Hi Gildong Hong,
Thanks for thinking of me. I will take 2 overseas students this coming cycle. So far, a talented A and a B prospective student have contacted me. It is not first come, first serve, but rather whom I judge will have the best chance of success. The ultimate decision is made by a committee (of which I am not a member). They look very carefully at TOEFL and other exam scores, as well as the letters of recommendation.
Anyway, the bottom line is that I encourage you to apply. It is my gut feeling that your application will be very competitive. However, I am not in a position to make promises right now. I trust you understand.
All the best,
ABD

Dear Gildong Hong,
Thanks for your email (and apologies for the response). I don’t typically take graduate students at ABC since we don’t have the critical mass to support a rich graduate experience in chemistry. Always happy to collaborate though!
Best,
